Introduction

Options let you manage the full elective/choices subject selection process for students — from creating options forms for the right students and subject offering, collecting and adjusting student preferences, to creating classes and adding them to draft timetable/s.

To access Options, you need Timetabler access. Contact your school’s system administrator if you don't have this permission.

When you’ve created your draft, you can start adding students required to make subject preferences.

From the Students screen, select Add students:

  1. Search for students by name or filter by year group or gender. Select all or the checkbox next to each student you want to include
  2. Select Add students. The selected students are now part of this options form
  3. Check the right students are added and details like email addresses are not missing/are correct

You have added students to your options draft.

Set up blocks of subjects

When you’ve added students, the next step will be to add the elective subjects students can choose from.

From the Options subjects screen, select Add options subjects:

  1. Select the number of blocks required.
  2. Select Add blocks.
  3. When blocks display, select Add subject to add subjects for each block.
  4. You can edit the block title (optional).
  5. Select the subjects by using the dropdown and select Add subjects when all subjects have been added.
  6. When you can see the subjects in the block, enter maximum numbers of students and classes.
    1. Room capacity: the maximum number of students allowed in a single class.
    2. Room count: the number of classes available for that subject.
  7. You can add or remove blocks until you have the required blocks.
  8. Select View students and options to review your options.

Notes

  • Blocks are groups of options subjects to be timetabled together. They each require at least 2 subjects. This gives students the opportunity to select their preferences from the options in each block.
  • Each block must contain sufficient capacity for the students included in the survey. If there is insufficient capacity, a validation message will prevent you from progressing until the issue has been resolved.
